Paste your guest list and every family lands at its own table, seat by seat

Keep rivals apart, couples side by side, then print the chart, sign and escort cards.

Try an example, or paste your own guest list below:

Paste straight from a spreadsheet: Name, Group, Side (bride or groom), Notes (VIP, child, head table, +1). Only the name is required.

Write Mum | Dad to seat two guests at different tables, and Ana + Ben to seat them together, side by side. A first name is enough when it is unique.

Table shape

8 suits a 60 in (152 cm) round table; 10 fits a 72 in (183 cm) one.

Seating preferences

Your guest list stays in this browser: it is never uploaded, and it is saved here so you can come back to it.

Add at least two guests to the list, then press Build seating chart.

Tap a guest, then tap another guest to swap seats, or tap “Move here” on a table.

    Print or download

Pick a document, then download it as a PDF or print it. It uses the chart above, including your changes.

Free PDFs and printouts carry a light MiniWebtool.com watermark. Pro makes them clean and adds the CSV spreadsheet. Remove the watermark with Pro →

How to Make a Wedding Seating Chart

    1. Paste the guest list. One guest per line: name, group, side, notes. Copy the columns straight out of a spreadsheet.
    2. Write the rules. A bar keeps two guests apart, a plus keeps them together. Plus-ones always sit with their host.
    3. Choose the tables. Round, long or mixed, and the seats your venue's tables hold. The line under the box shows how many tables that makes.
    4. Adjust. Read the report, then tap one guest and another to swap them, or tap a guest and “Move here” on a table.
    5. Download or print. Save a PDF or print on US Letter or A4: a chart by table, a find-your-seat sign sorted by surname, escort cards 8 to a page with cut lines, or, with Pro, a CSV for the planner or caterer.

    Guest List Format

Only the name is needed. The group keeps families and friends together, the side balances or mixes the two families, and the notes mark special guests.

Ana Rivera, Rivera family, bride, VIP
Kai Lin, College friends, bride, +1
Mia Croft, Croft family, bride, child
Ben Ito, Ito family, groom, head table
    NoteWhat it does
VIPSeats the guest at the tables nearest the front, such as grandparents and parents.
childSends children to their own kids table when there are at least three; otherwise they stay with their family.
head tableSeats the guest at the head table, or at a sweetheart table when only the couple is marked.
+1, +2Adds that many unnamed guests seated right next to this one.

    Seating Tips That Save Arguments

    • Start with the hard pairs. Write the keep-apart rules first; everything else is easier to change later.
    • Nobody alone. Every guest should know at least one person at the table. The report lists anyone who doesn't.
    • Parents and grandparents up front. Mark them VIP so they can see the speeches and the first dance.
    • Leave one or two empty seats. Set the seats per table one below the maximum so late RSVPs fit without redoing the chart.
    • Print the sign last. The find-your-seat sign and escort cards come from the chart as it is now, so print them after the final RSVP.

    Frequently Asked Questions

Is this wedding seating chart maker free?

Yes. Building, editing, saving, downloading as PDF and printing are free with no sign-up. Free PDFs and printouts carry a light MiniWebtool.com watermark; Pro makes them clean and adds the CSV spreadsheet download.

How do I make a seating chart for my wedding?

Paste the guest list with each guest's family or friend group, add the pairs that must sit apart or together, choose the table shape and seats per table, and press Build seating chart. The tool fills every table, then you swap or move guests until it looks right and print the chart.

Can I paste my guest list from Excel or Google Sheets?

Yes. Copy the columns Name, Group, Side and Notes and paste them into the guest box. Tab-separated and comma-separated lines both work, a header row is skipped, and a plus-one can be written as +1 in the notes.

How do I keep divorced parents or two relatives apart?

Write their names with a bar between them, such as Mum | Dad, on its own line in the rules box. If the table sizes make it impossible, the report says so and the two are seated as far apart as the table allows.

How many guests fit at a round table?

A 60 inch (152 cm) round table seats 8 comfortably and 10 tightly; a 72 inch (183 cm) round table seats 10 to 12. An 8 foot banquet table seats 8 to 10. Set the seats per table to match your venue's tables.

Should the wedding party sit at a head table or with their partners?

Both are common. Mark the couple and the wedding party as head table in the notes for a head table, or only the couple for a sweetheart table, then mark their partners VIP so they sit at the tables nearest the front.

What is the difference between escort cards and place cards?

Escort cards tell each guest their table and usually sit near the entrance in alphabetical order. Place cards sit at the table and mark the exact seat. The printable cards here show the name and table, so they work as escort cards, or as place cards when you set them out in seat order.

Is my guest list uploaded or shared?

No. The seating is worked out in your browser and the list is saved only on this device, so you can close the page and come back to it later.
